Automating invoice intake with AI: what actually works
Where invoice automation pays off, and where a person still has to look.
The job is the line items, not a chatbot
The useful version of this project reads supplier invoices and puts the line items into the accounting system you already use. It does not require a custom model. It does require a way to see when the read was wrong.
A feature that cannot be checked does not ship. High-dollar invoices, new vendors, and low-confidence reads should land with a person. The rest can go through.
Keep the documents where they are
Your invoices stay in your own cloud tenant, on Azure, AWS, or Google Cloud. They are not copied into a vendor's training set. We use enterprise API terms that exclude training, and access is removed at handover.
The same pattern covers other documents you already handle: routing incoming files to the right team, or triaging support requests before a person picks them up. If a simpler integration would do more than a model, that is the recommendation.
How long it takes
A short assessment, then a fixed-scope pilot. Most pilots of this kind ship in four to eight weeks, inside the tools your team already opens. You get an evaluation of where it is accurate, a review path, and documentation.
If you have a pile of invoices being typed in by hand, start with a free 30-minute assessment and we will say whether this is the right project.
